feat(bookings): quick actions menu on the bookings list - #3325
#3280 added one-click check-out and check-in to the bookings list. Everything else an operator
does to a booking (extend it, cancel it, archive it, duplicate it, print its PDFs) still meant
opening the booking first. The booking page's Actions menu also decided who sees what with its
own inline checks, so a second place offering those actions would have meant a second copy of
the rules.
What changes
Bookings list
The column is renamed Quick actions, stays on one line and is right-aligned.
Each row keeps its check-out / check-in icon and gains a ⋯ menu with: Change end date
(extend), Cancel, Archive, Duplicate booking, then Generate PDF and Generate check-in receipt.
Every item shows only when the viewer may use it. Revert to draft, Delete and Manage
notifications stay on the booking page on purpose.
The receipt is shown disabled with a reason ("Nothing has been checked in yet.") rather than
hidden.
The same column appears on every list that uses this table (my bookings, kit, asset and team
member bookings).
Booking page
The Actions menu is rebuilt on the same Popover menu and shared action components. Same items,
same order, same behaviour.
Settings (unrelated small fix)
The check-in and check-out requirement cards on Settings > Bookings had no space between them.
How it is built (no duplicated logic)
resolveBookingActions (components/booking/booking-actions.ts) is the one place that decides
visibility and disabled state per action, from the matrix (@shelf/permissions), the role
policy and the booking. Both menus read it through useBookingActions.
Each action is one component used in both places: CancelBookingDialog, ArchiveBookingAction, DuplicateBookingAction, ExtendBookingDialog, the two PDF dialogs
and BookingDocumentEntries for the PDF block.
BookingActionsMenu is the shared Popover menu (button trigger on the page, ⋯ icon trigger on
the row, bottom sheet on mobile). A dialog opened from an item stays open after the menu closes,
and focus returns to the trigger.
All mutations post to the booking's existing overview action, so permission checks, notes,
activity events and toasts are the ones the page already uses.
Who sees what
Follows the booking page rules:
Role

Duplicate, PDFs
Owner / Admin / Manager

Self Service

PDF visibility follows the server's download rule (documentsForOthers or custodian), so roles
no longer see PDF buttons the server would refuse.
Server changes
New routeapi/bookings/$bookingId/next-reservations: the extend dialog's "how far can I
extend" horizon, fetched when the dialog opens from the list. Gated by requirePermission(booking:extend), org-scoped lookup, validateBookingOwnership and canSeeBooking. Errors are returned, not thrown, so they stay in the dialog instead of
reaching the list's error boundary.
List loader:decorateBookingsForList adds canPrintCheckinReceipt with three bounded,
org-scoped existence queries, using the same rule as the booking page.
Known follow-up (separate PR)
The server's edit check (canWriteBooking) accepts the custodian's user link but not a custodian
linked only through their team member record. On such legacy rows the UI offers the actions and
the server refuses them with an error toast. The booking page behaved this way before this PR.
Testing
New and updated unit tests: the rules (full status × action matrix plus role cases), the menu,
the row, each action component, the receipt availability rule and the new route.
test:changed against main: 24 files, 446 tests passing. Lint and a typecheck of the changed
files are clean.
Browser, as owner: every row menu item, dialogs surviving the menu closing, focus return,
Extend (validation error and a saved date), Archive toast, Cancel dialog, the disabled receipt
reason, PDFs not picking up the list's sort, the booking page menu.
Tested by hand across roles.
Summary by CodeRabbit
New Features
Booking menus provide consistent actions across booking pages and list rows, with desktop and mobile layouts.
Eligible viewers can archive, duplicate, cancel, and extend bookings from the action menu.
Available booking documents and check-in receipts appear in the menu. PDF downloads can follow the current asset sort order.
Extending a booking can show its upcoming reservation horizon.
Bug Fixes
Booking actions reflect access, booking status, and required conditions; unavailable actions are clearly disabled.
Dialogs retain their context while open and restore focus when closed.
Check-in receipt options appear only when a receipt is available.
resolveBookingActions decides, for every booking action, whether a viewer
sees it and why it is disabled. The bookings list row reads it through
useBookingActions instead of its own grant, explicit-scan and ownership
checks.
Who may act follows the booking page: roles that write every booking, or
the booking's custodian (user or team-member link). The list row no
longer offers check-in/out to a creator who does not hold the booking.
The booking page's canSeeActions uses the same canActOnBooking helper.
Cancel posts through its own fetcher to /bookings/:id/overview and reads
its validation errors from that fetcher, so it works outside the booking
page. Archive and Duplicate become their own components. All three take a
menu-item or icon trigger through the shared BookingActionTrigger.
The booking page's Actions menu renders the new components; its behaviour
is unchanged.
The cancel dialog shows a field error only from the current opening, so a
refusal from an earlier opening does not reappear. BookingActionTrigger and
the archive and duplicate actions forward an HTMLElement ref, matching
Button, and pass only attributes both the button and link branches accept.
The booking document and check-in receipt no longer read the asset sort
from the page URL. The booking page passes its own sort; other callers
pass none and get the server default, so a list's sort never reaches a
PDF. Both take a menu-item or icon trigger.
The receipt's enabled rule moves to isCheckinReceiptAvailable, and the
bookings list loaders flag canPrintCheckinReceipt per page with bounded
queries, not one per row.
A disposition log counts towards canPrintCheckinReceipt only while its
asset is still a quantity-tracked item on the booking, the same rule the
booking page applies, so the list and the page agree on the receipt. Still
two bounded queries per page.
New resource route /api/bookings/:id/next-reservations serves a booking's
extend horizon. It requires booking:extend, scopes the booking to the
organization and runs the same ownership guard as the overview action's
extend intent before loading anything.
ExtendBookingDialog takes the booking as props and posts to
/bookings/:id/overview. The booking page passes the horizon from its
loader; other callers let the dialog fetch it when it opens.
…s local
The next-reservations route also refuses a booking the viewer may not
read (canSeeBooking, as the booking page loader does), so a member who
created a booking someone else holds cannot read its horizon. Refusals are
returned rather than thrown, so a failed horizon load leaves the extend
dialog without the horizon instead of replacing the page with its error
boundary.
…ctions
BookingActionsMenu is one Radix Popover menu with a button trigger (the
booking page) or an icon trigger (list rows). A dialog opened from an item
keeps the menu content mounted until that dialog closes.
The booking page's Actions menu is rebuilt on it from useBookingActions and
the shared action components, in the same order as before. Its PDF entries
follow the download rule the server enforces, and the check-in receipt is
shown disabled with its reason while there is nothing to print.
…ter a dialog
The button trigger is again the growing <button> wrapping the secondary
Button face, so the booking page Actions button still fills its row in the
mobile header. Focus goes back to the trigger after a dialog opened from
the menu closes. Covered by tests for both dialog primitives.
Each bookings list row keeps its check-out and check-in icons and adds a
More actions menu with Extend, Cancel, Archive, Duplicate, the booking
document and the check-in receipt, as the shared rules allow. It uses the
same menu and action components as the booking page and posts to the same
overview action. The column header reads "Quick actions".
…flag
BookingDocumentEntries renders the divider and the two PDF entries for both
the booking page menu and the bookings list row. The PDF components take
their disabled state from the shared rules instead of deriving it again,
and the receipt stamps its file name when it is opened.
The list loader's receipt flag uses existence filters and reads only the
quantity-tracked slices it needs, so its cost no longer grows with the
number of assets on each booking.
The booking page's action gate reads the booking's real custodian links,
the same ones the rules read, and the busy check-in/out icon renders
through BookingActionTrigger.
The row's More actions trigger now uses the same secondary small icon
button face as the check-in and check-out buttons, and the Quick actions
header no longer wraps onto two lines.
Both explicit requirement cards share one component, which removed the Card's
vertical margin entirely, so the two sat flush against each other. It now
removes only the top margin and keeps the 16px gap below like the other cards.
The row buttons and the Quick actions header align to the right, so the
More actions menu sits in the same place on every row and the optional
check-in and check-out buttons appear to its left.
The only change since the last review is a test assertion in list-flags.server.test.ts. It now expects the full BOOKING_DISPOSITION_CATEGORIES list, which matches the production query at list-flags.server.ts:382. The change adds no security issues.
Booking actions now use shared visibility and disabled-state rules across booking pages and list rows. The changes add reusable menus and action triggers, check-in receipt availability data, and booking-specific reservation-horizon loading for extension dialogs.

A shared resolver applies status, permission, custody, scan-setting, asset, and receipt rules to booking actions. The edit form uses the shared custody check. The settings card changes its top-margin utility.
The responsive menu supports button and icon triggers, closes after enabled entry activation, and keeps content mounted for newly opened dialogs. Shared triggers support links, buttons, disabled reasons, and forwarded attributes. Archive submits a booking-specific POST; duplicate links to the booking’s duplicate route.

Recheck the booking status under a row lock in cancelBooking.
235-236: 🗄️ Data Integrity & Integration | 🟡 Minor | ⚡ Quick win
Recheck the booking status under a row lock in cancelBooking.
cancelBooking checks the status before its transaction, without a lock. Its update then sets CANCELLED with no status condition. If a check-in commits between those steps, Cancel overwrites COMPLETE. The booking ends as cancelled even though its assets were checked in. Lock the booking row inside the transaction and recheck the status there, as checkinBooking does.

Update cancelBooking to lock the booking row inside its transaction and recheck

cancellation is no longer valid.
Assert focus return in the no-dialog dismissal test.
Assert focus return in the no-dialog dismissal test.
The test checks aria-expanded and sheet removal, but not where focus lands. When the chosen entry opens no dialog, release() in booking-actions-menu.tsx (lines 306-318) moves focus to the desktop trigger after a timeout. The added assertion checks that focus lands on the trigger in this case. It does not isolate the release() call: the popover may also return focus to its trigger when its content unmounts.
Suggested test addition
const trigger = getTrigger(/^Actions/);
fireEvent.click(trigger);
fireEvent.click(screen.getByRole("button", { name: "Duplicate" }));
expect(trigger).toHaveAttribute("aria-expanded", "false");
await waitFor(() => {
expect(document.querySelector("[data-mobile-sheet]")).toBeNull();
});
+ // No dialog holds focus, so the menu returns it to the trigger.+ await waitFor(() => {+ expect(document.activeElement).toBe(trigger);+ });
});
This is additional coverage for behavior that already works, so it is a refactor, not a functional defect. The priority is optional because the gap affects a focus outcome and does not block the change.

In the no-dialog dismissal test for BookingActionsMenu, assert that
document.activeElement eventually equals the trigger after the mobile sheet is
removed. Keep the existing aria-expanded and sheet-removal assertions; treat
this as coverage of the focus-return outcome without claiming it isolates
release().

expect.arrayContaining(["RETURN"]) also matches a query that filters only RETURN. The mock ignores where, so a lookup that drops CONSUME, LOSS, or DAMAGE still passes this test. The receipt rule counts any disposition log as accounted units, so an exact assertion on all four categories would catch that regression.

Tighten the category assertion in the receipt lookup test near `logFindManyMock`
so it requires exactly RETURN, CONSUME, LOSS, and DAMAGE. Keep the existing
booking ID and organization filters unchanged.
Closing the actions menu let Radix return focus to its PopoverTrigger, which is the
desktop copy. Below md that copy is display:none, so dismissing the sheet with
Escape or Close dropped focus to the page. The menu now focuses whichever trigger
is rendered, unless the close came from a press outside the menu.
The new test closes the menu only with Escape. The closedFromOutsideRef branch in onCloseAutoFocus (booking-actions-menu.tsx, line 411) is not run by any test. If that early return were removed, the handler would always focus the visible mobile trigger, and this test would still pass.
Add a case in booking-actions-menu.test.tsx that opens the menu, clicks a button outside the menu, and asserts that the outside button keeps focus.

The list's receipt flag counts returned, consumed, lost and damaged units as accounted
for, like the booking page. The test only checked that RETURN was in the filter, so a
query that dropped the other three still passed. It now asserts the exact shared list.
Pin the receipt categories with literals in this assertion.
The expected category filter at list-flags.server.test.ts:742 is built from BOOKING_DISPOSITION_CATEGORIES, the same constant the list query uses. The consumptionLog.findMany mock returns a fixed row regardless of its where clause. If DAMAGE is removed from that constant, the expected filter changes with it, and this test still passes. Literal categories make the test fail when the accepted set changes.
